When our journey as the Mailody agency began 3.5 years ago, we had no idea how quickly we would grow. Starting with a maximally small team, we have since grown to 20 team members and expanded across all key functions. Our way of working has also changed. In 2024, we are launching a second addition at our agency: WhatsApp marketing. After receiving over 20 inquiries for WhatsApp marketing from our customers last year, it was clear: we need to expand here. Towards the end of 2023, we started testing with our first customers and in no time established Chatarmin and Hello Charles as WhatsApp marketing tools at our agency. Our goal is to centralize all CRM activities at our agency in the near future.

What is WhatsApp Marketing?

WhatsApp marketing refers to using the popular messaging platform WhatsApp for business and marketing activities. With more than two billion active users worldwide, WhatsApp offers enormous reach for businesses to interact with their customers as quickly as possible. As a business, you can easily maintain direct communication with your customers. You can achieve this communication through WhatsApp Business by sending personalized messages, offers, product updates, and customer support. WhatsApp Business lets you connect with your customers on a channel they use every day.

On top of that, with WhatsApp marketing you can share various images and videos with your customers to showcase your products or services in an engaging way.

One of the most effective WhatsApp marketing strategies is building broadcast lists or groups to send targeted messages to specific audiences. Businesses can also use WhatsApp Business Status to share current information with their customers.

However, it is important to emphasize that WhatsApp marketing requires your customers' consent to ensure compliance with data protection rules and to prevent spam. Businesses must make sure their contacts accept the communication and have the option to opt out of WhatsApp marketing.

If you follow these rules, WhatsApp marketing gives you the opportunity to build a strong relationship with your customers.

The ability to create and save message templates saves time and energy by streamlining recurring responses. In addition, Hello Charles provides comprehensive analytics and reporting features that let businesses closely monitor engagement, response times, and customer satisfaction.

The platform places great emphasis on data security and compliance with GDPR regulations to ensure the confidentiality and security of customer data.

So how do you get started with your first WhatsApp campaign in WhatsApp Business? Here come 4 steps for your WhatsApp marketing strategy.

The best WhatsApp newsletters start with collecting leads from your existing customers. With Chatarmin, for example, you can create a chat-start link that you can personalize as often as you like. Embed this as a link or QR code on your website or in an email newsletter.

Create a welcome automation with double opt-in. With Chatarmin, for example, you can use the UI/UX-friendly "Flowbuilder" for this:

Send campaigns to your WhatsApp newsletter list and run A/B tests. In the newsletter WhatsApp Business, you can then choose which segment to send to.

Analyze and improve your marketing on WhatsApp. Only by testing and regularly analyzing open rate, click rate, cost, revenue, and unsubscribe rate can you continuously improve your WhatsApp Business.

Cost of WhatsApp marketing

To run WhatsApp Business, you can use the free WhatsApp Business App. However, this is better suited for small businesses. It offers some useful features for businesses with quick replies, a catalog, and broadcasts to up to 256 recipients. The Business App works similarly to the WhatsApp app used by private users. Since the Business App is limited to a single employee account, it is not suitable for professional customer service or the service and marketing communication of larger businesses.

For these larger businesses, the WhatsApp Business Platform, also known as the WhatsApp Business API, is the right fit. It is scalable and can be flexibly integrated with your business processes and infrastructure. Only with the WhatsApp Business API can you send approved WhatsApp newsletters. The WhatsApp Business API is used through tools like Chatarmin described above and, unlike the WhatsApp Business App, is not free.

Monthly memberships for the WhatsApp marketing tool Hello Charles start at around €420.00, while at special events like OMR or DMEXCO, time-limited promotions at lower prices may be offered. It is important to note that Hello Charles's pricing structure is designed so that scaling the tool, the conversations, and WhatsApp revenue leads to additional costs.

Sinch Engage Logo

Sinch Engage offers a variety of pricing plans tailored to the individual needs of different businesses. Fees are determined by the number of messages sent per month as well as the desired features. The cost of using Sinch Engage starts at €199.00, but rises quickly. Adding just five customer agents already increases the monthly cost to €399.00, which may make this option less practical for smaller businesses. At €0.70 per message, Sinch Engage is the most expensive WhatsApp marketing tool.

Is WhatsApp marketing GDPR compliant?

One of the most important questions we need to ask ourselves in WhatsApp marketing is whether a WhatsApp marketing campaign is GDPR (General Data Protection Regulation) compliant. Privacy and data protection are equally important to both private individuals and businesses. Fundamentally, with WhatsApp, you need to distinguish between WhatsApp for private users, WhatsApp Business, and the WhatsApp Business API.

The General Data Protection Regulation (GDPR) is a comprehensive data protection law of the European Union that aims to protect the personal data of EU citizens. It was introduced to make sure individuals retain control over their personal data and that businesses handle this information responsibly and transparently.

It applies to all individuals, businesses, or organizations that process personal data of people in the EU.

Businesses using WhatsApp for marketing or customer engagement collect personal data such as phone numbers, names, and potentially more detailed information about individuals. Therefore, the data protection rules of the GDPR also apply to WhatsApp, just as they do to other communication channels like email and SMS. So what about the Business App and the WhatsApp Business API?

WhatsApp Business App

The WhatsApp Business App is aimed at small businesses or individuals communicating with a limited number of people. Businesses must obtain consent manually and make sure data is stored securely and handled responsibly. Although GDPR compliance in the app requires more manual work, businesses can still follow the principles of the regulation.

WhatsApp Business API

The WhatsApp Business API for larger businesses offers the ability to set up GDPR-compliant WhatsApp communication using automation features such as double opt-in. In addition, the WhatsApp Business API makes it easier to automatically store consent information and ensures secure data storage, since businesses can decide whether to store customer data on EU servers to comply with GDPR requirements.

Businesses must ensure GDPR compliance for a WhatsApp campaign to protect the personal data of their customers. It is essential to obtain proper consent from customers for WhatsApp advertising, to handle data responsibly, and to offer simple opt-out options.
